Position Overview

This position is responsible for an array of front and back-office duties, promoting and supporting the organization’s mission, investors, allies, and members of staff.

Accountability

This position reports directly to the President & CEO.

Office Suite Duties

• Ensure staff is well-informed of office and building management issues, and act as building suite safety representative

• Maintain the efficient operation of office suite equipment i.e., copiers, phones, security technology, and IT equipment

• Manage and execute equipment and office contracts

Office Finances and Human Resources Duties

• Manage all accounts receivable and payable invoicing, billing records and processing of payments

• Manage annual financial audit to include accurate record keeping in Quickbooks and office filing system

• Manage the South Carolina Grant funds, maintain accurate grants records, and provide quarterly reports to SC Department of Commerce

• Perform all HR responsibilities to include administering employee benefits, onboarding, payroll and maintaining accurate employee files

• Post jobs, arrange interviews, and coordinate hiring efforts

• Point of contact among executives, employees, and other external partners

Office Staff Duties

• Support the CSCA staff members in execution of the organizational goals and strategic plan

• Provide correspondence and meeting planning for the organization’s President, Board of Directors and investors

• Maintain accurate contacts, events and other records in the CRM database

• Provide assistance and support for marketing missions, special projects and events

• Work with other staff to provide support and updates for the production and distribution of the organization’s marketing communications, websites and publications

• Assist with compiling research and database information for CSCA publications, and general data requests, etc.

• Manage office supplies

• All other tasks as assigned

Executive

• Manage and maintain President & CEO calendar and certain correspondence

• Work with executive leadership related to Board of Directors

Investor Relations

• Invoicing and follow up

Skills Required

• Ability to communicate effectively, both verbally and in writing with staff and external contacts

• Establish and maintain internal and external relationships

• Effectively manage multiple projects while utilizing strong organizational skills and prioritizing simultaneous assignments or tasks well

• Be a team player with strong interpersonal skills who is respectful and willing to assist staff with assigned tasks

• Ability to work in fast-paced, deadline orientated environment with minimal supervision

• Provide excellent customer service with an energetic and positive outlook

• Perform tasks while maintaining confidentiality, integrity, and a strong work ethic

• Ability to adapt and learn new software applications

• Proficient in Microsoft Office applications including Outlook, Excel, Word, and Power Point

• Experience with accounting software i.e., Quickbooks

• Knowledge of an office phone system

• Knowledge of virtual meeting platforms i.e., ZOOM

Education Requirements

• College Credits/BA/BS Degree required

• 2-4 years of experience

Physical and Other Requirements

• Ability to lift at least 5lb boxes

• Ability to be flexible with hours to accommodate events

• Maintain a high degree of professionalism
